Staff Accountant

Founded in 1975, Hospice by the Bay (HBTB) is California s first hospice and is the second in the nation. Our nonprofit currently serves children of all ages, adult patients and their families in the counties of Marin, San Francisco, San Mateo, Sonoma, and the cities of Napa, American Canyon and Vallejo. A pioneer in the field for more than 40 years, HBTB affiliated with UCSF in 2015.
Hospice by the Bay is currently seeking a Staff Accountant to join our team in our Larkspur office. The successful candidate must be reliable, well organized and a team player. This position is responsible for performing all general ledger accounting and related functions in accordance with organization policies and procedures and generally accepted accounting principles (GAAP), maintaining payroll processing including payroll related reports for month-end, taxes, 403b, and worker compensation and assisting in all aspects of the administration of Hospice contracts in compliance with organization policies, procedures, applicable laws and regulations.
Essential Duties & Responsibilities (include but are not limited to):
  • Manage the payroll process, ensuring the bi-weekly process is prepared in an accurate and timely manner through the use of complex software systems. This includes but is not limited to collection of and review of timesheets, data entry, and review of payroll reports and maintenance of permanent payroll files.
  • Prepare and process GL upload of bi-weekly payroll files ensuring accuracy of the payroll import data received after payroll processing utilized for GL entries.
  • Act as main liaison to payroll vendor.
  • Prepare invoices and reconciliations for employee Flexible Spending and 403(b) contributions.
  • Respond to and resolve manager & staff questions and issues regarding timesheets & payroll checks.
  • Ensure accuracy of payroll import data received after payroll processing utilized for GL entries.
  • Prepare general ledger coding and updating including payroll accruals and reclassifications for shared staffing.
  • Prepare payroll-related reports as required by state/federal laws (for example: quarterly 941) and as may be required by the Controller and CFO.
  • Maintain related payroll and payroll tax permanent files
  • Provide financial information and schedules for the completion of financial statements and preparation of the annual audit.
  • Assist Accounting Manager and Contract Specialist with the administration and maintenance of contracts.
  • Preferred knowledge of credentialing and maintenance of clinical contracts.
  • Knowledge of CHAP standards and Medicare CoP compliance
  • Assist in maintaining an up to date contracted provider database complete with annual review calendar
  • Ensure contract requirements are consistently enforced.
  • Coordinate all internal and external requests for LOA s, Travel agreements, and other related documents.
  • Assist during the month-end close process
Requirements include:
  • Bachelor's degree (B. A.) in Accounting or related field from a four-year college or university or equivalent combination of education and experience.
  • Minimum of three years accounting experience.
Certificates, Licenses, Registrations:
  • Current California Driver s License and automobile insurance that meets State of California requirements, if driving a car.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
